Emergencies include:

  1. You cannot take x-rays anywhere in the office

For example:

  • You are a specialist (orthodontics, periodontics, oral surgeon) who only uses a digital panoramic or CBCT machine to acquire x-rays. The computer that controls it is not functioning.
  • You are a general dentist who utilizes ScanX or some other phosphorus plate technology and the computer that controls it is not functioning.
  • You have a single room for taking x-rays and the computer that controls it is not functioning.

This does not include offices who use digital sensors in multiple rooms, unless for some reason you cannot acquire x-rays in more than 50% of your rooms.

2.You cannot access your practice management and/or imaging software on more than 25% of the clinical rooms or more than 5 computers total within the practice. See following table for clarification.

6 – 9

2 clinical rooms or more than 5 total computers within the office

10 – 15

3 clinical rooms or more than 5 total computers in the office

16 – 20

3. You are cloud-based (Curve, Ascend, Ortho2 Edge, etc.), and you do not have Internet access, thus you cannot access your practice data.

5. You have not been able to collect credit card payments in more than 3 business days.

6. You suspect that your office has been compromised.

Please be advised that these policies are necessary to ensure that an office having major issues is taken care of immediately. We prioritize emergencies over all other work, including previously scheduled work. It is only fair that we are able to return to scheduled work as soon as possible once an emergent situation is resolved.

While there are plenty of situations that we also consider urgent (see below), we do not prioritize this work over customers with scheduled appointments. However, we’ll do our best to work you into our existing schedule A.S.A.P (usually within 48 hours).

Urgent issues include:

  1. You have a VoIP-based phone system (Weave, PeerLogic, Mango, etc.) and you cannot take calls.
If you purchased a phone system from Bytewing please reach out to John Roddy directly at 513-743-7696.
  2. You cannot take credit card payments or send e-claims, but were able to the previous business day.
  3. Your text-based confirmation service is offline (Modento, Weave, Lighthouse, Revenuewell, etc.)
  4. Some of your rooms cannot take x-rays.
